Custom RFID RFQ Checklist: Turn Application Needs into Verifiable Specifications

Complete inquiries reduce repeated discussions and help keep supplier quotations comparable in scope. This is a general RFQ preparation checklist; specific MOQ, samples, costs and lead times depend on the confirmed project quotation.

First describe the task the tag needs to perform

Describe the business action in one sentence, such as “inventory folded apparel with a handheld reader” or “let customers tap a phone to open the product page.” Then provide item photos, mounting materials and equipment details.

If frequency, protocol or chip is undecided, explain the task and constraints and ask the supplier for options. With an existing system, prioritize equipment and software requirements, avoiding replacement based only on appearance.

  • Application and deployment region: Who reads, when they read, and what action follows.
  • Equipment: Reader brand and model, supported protocols, or target smartphones.
  • Installation conditions: Materials, shape, available dimensions, attachment method and reading position.
  • Environment: Temperature, cleaning, wear, outdoor exposure and potential contact with liquids or chemicals.

Confirm hardware, printing and data separately

RF design, visual printing and encoded data are related but separate deliverables. Chip requirements should include protocol and memory needs; printing files should specify dimensions, variable data and legibility requirements.

Encoding should specify format, generation rules, memory areas and whether verification or locking is required after writing. For EPC, confirm encoding against the applicable data standard. For phone taps, separately confirm content format and reading on target devices.

  • Hardware: Frequency, protocol, chip requirements, dimensions, packaging and installation method.
  • Printing: Artwork, colors, logo, text, barcodes or QR codes, and variable numbers.
  • Encoding: Sample data, numbering rules, write requirements and verification methods.
  • Packaging: Quantity per roll or pack, orientation, tag spacing and package identification requirements.

Define quantities and delivery scope for the quote

Distinguish samples, the first order and anticipated repeat demand. Specify the delivery location, desired date and any split deliveries. If quantity is undecided, provide quantity tiers to compare.

Confirm tags, printing, encoding, tooling or other one-time costs and shipping scope separately in the quotation. The checklist defines scope; it does not imply commitments to any quantity, free samples or fixed lead times.

Confirm samples and acceptance methods before volume production

Verify reading, appearance, installation and data writing using actual objects and equipment. Keep the approved sample version, artwork, encoding rules and acceptance procedure in one record for joint review by purchasing, technical teams and the supplier.

For temperature resistance, water resistance or other environmental requirements, specify actual conditions and the required test evidence. With metal or liquids, include testing after attachment in the confirmation process.

Yes. Provide the application, reading equipment, mounting material, available space, data needs and estimated quantity. The supplier can propose options based on operating conditions, then validate compatibility using samples.

What are the MOQ and lead time for custom tags?

Confirm according to chip, packaging, dimensions, printing, encoding, quantity and delivery requirements. Ask separately about samples, initial orders and repeat orders; the project quotation determines the arrangements.

How can we avoid receiving readable tags that do not work with our existing system?

During sampling, verify frequency and protocol, equipment compatibility, data formats and system mapping together. Record reader models, sample data, verification rules and acceptance procedures, rather than checking appearance alone.
